PA to Managing Director and Head of Compliance

Job description

Location: Ledbury, Herefordshire
Salary: £25,000 per annum (depending on experience)
Hours: 37.5 hours per week, Monday to Friday

We are looking for a highly organised and efficient Personal Assistant to support our Managing Director and Head of Compliance. This is a key role, combining administrative, compliance, and operational responsibilities within a fast-paced business environment. You’ll play a vital part in ensuring smooth day-to-day operations, supporting both the leadership team and internal staff.

Key Responsibilities:

  • Administrative Support:
    Manage the Managing Director's calendar, organising meetings, appointments, and travel. Serve as the first point of contact for calls, emails, and enquiries. Prepare and proofread documents, reports, and presentations, ensuring all materials are delivered promptly and to a high standard.

  • Compliance Support:
    Assist in the preparation of compliance documentation, policies, and audit reports. Track regulatory changes and ensure the business remains compliant. Liaise with regulatory bodies and external auditors to meet all necessary compliance requirements.

  • Meeting Coordination:
    Schedule internal and external meetings, including client meetings and compliance reviews. Prepare meeting agendas, minutes, and follow up on action points. Ensure all necessary materials and documents are available in advance.

  • Vehicle and Tool Management:
    Oversee company vehicle management, including scheduling maintenance, tracking service schedules, and managing costs. Coordinate the allocation and maintenance of tools, ensuring all necessary equipment is issued to staff and properly tracked.

  • Staff Support:
    Track staff holidays and absences, ensuring accurate records are maintained. Prepare onboarding materials for new hires and assist with the coordination of training and certification renewals.

  • Communication & Discretion:
    Draft, edit, and manage professional correspondence on behalf of the Managing Director. Maintain a high level of confidentiality when handling sensitive information.

 

Key Skills and Experience:

  • Exceptional organisational and time management skills with the ability to juggle multiple tasks.

  • Strong verbal and written communication skills.

  • A keen eye for detail, particularly when managing schedules, reports, and compliance documentation.

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), with experience in using compliance platforms or vehicle management software advantageous.

  • A proactive approach, anticipating needs and planning ahead, while managing sensitive and confidential information with discretion.
